New Document/Clause Insertion Tool

Actually, the
news here isn't that you can recall a complete document from any location using just your keyboard.
Pathagoras has had that feature since 2010. (That was even before Word
began offering Quick Parts!) For those who don't know this trick, simply type
the name of a document anywhere on your Word screen. Just its core
name. No path and no extension required. Then press <Alt-G>. That's it!
If your document is located in your 'Super Folder' or in any one of your up-to-ten DropDown
Lists, Pathagoras will find it and
insert it in a split second. Read more about that process here.
No, the
real news today is that the above process now can be used to extract bookmarked text contained in any of your documents. The setup is simple. Just add bookmarks (any number of them) to any of your source documents (old or newly created). The only requirement is the document must be one saved in your 'Super Folder' or in any one of your DropDown Lists.
To recall the bookmarked text, just type the document name (just its core name) followed by two colons and then the name of the bookmark. Press <Alt-G>. Examples below. Just
like above, Pathagoras will find the clause and insert it into your document. Read more about this new feature here.
Example:
flowers::rose<Alt-G>
The assumption here, of course is that 'flowers.docx is in your Super Folder or in a DropDown List and that 'rose' is a bookmarked term in 'flowers.docx'. (When you update to the latest version of Pathagoras, that will in fact be the case. 'Flowers.docx' and several other new documents which demonstrate this feature will have been added to your samples collection. You can then try this yourself by typing 'flowers::rose<Alt-G>'.)
This is the biggest document assembly tool as we have introduced in years. Its functionality is limitless. It is fast, simple and
oh so elegant.
Here is how some of our beta testers have used it.
- Robert created a document called 'Preamble.docx' that contains the permutations of the preambles he uses in creating contracts. 'One buyer, one seller'; 'One buyer, two sellers'; 'two buyers, two sellers', etc. He also created variations for 'individual' vs. 'business entity' players.
The call : preamble::2bi,1sp<Alt-G> (2 buyers, individual; 1 seller, partnership). Robert
used the shortest possible bookmark names -- a single digit to
represent number; a single character to represent which 'side' of the contract was being referenced, and a single character to reflect entity type. So '2bi'
means '2 buyers, individual'. (The choice of bookmark naming styles is entirely yours.)
Previously, Robert had used Pathagoras' other tools (nested options and the repeat command), and they worked very well. But this new approach seemed more attractive to him and his staff. Plus, it was easy to explain to new users.
More recently, Robert created a 'Signature.docx' document with bookmarked elements reflecting identical number and entity variations as exist in his 'Preamble' document. Now the 'top' and the 'bottom' of his contracts can be instantly and accurately inserted.)
- Richard has adapted the tool to the wide variety of family structures for his estate planning documents.(married, no children, 1 child, 2 children, etc.; unmarried, etc.).
The call: family::mar3cdn<Alt-G> (married with 3 children)
While he hasn't completed his project, Robert advises that he is adding additional clauses to the 'family' document to account for blended families, for adult vs. minor children, etc. New tools that are included with the program changes make it easy to duplicate existing clauses. That way, minor (and major) variations can be added to the bookmark collection. Robert also advises that while naming becomes more complex with the complexity of family structures, it's not a big deal. He can call in the appropriate clauses using <<*Options* and <<*AskOptions* commands. It really is a matter of 'set it (in the base Will document) and forget it.'
- Similar to what Richard has done with a single document, Mark is using the tool to create clause sets that allow him to pull multiple substantive clauses from a variety of bookmarked documents into a large, cohesive contract. Now that is true 'document assembly.' I've seen it. It's a masterpiece.
- In our office (I am a practicing attorney as well as Pathagoras' programmer), we do much of the above as well. We also use it to maintain a list of
addresses and phones for contacts -- other attorneys, judges, insurance company contacts. It very simple and very sweet.
This can be
a sea-change for many offices looking for new ways to incorporate outside text into current documents.. We are thrilled to offer this unique
