User roles are a powerful tool in Locus software, providing flexibility and easy management of your organization's software use. Most customers like to identify a human person when assigning a task.
For example, “Bob needs to write a report that is due monthly on the 2nd Tuesday of each month”. In this example, a task is assigned to Bob. This works great until Bob goes on medical leave, or Bob moves to a different job, or Bob retires. When any of a number of events occur, there is a mad dash to update the hundreds of tasks assigned to Bob.
Most busy environmental professionals have way more than one task to accomplish and may have hundreds of responsibilities spanning years. To make matters more complex, Bob may wear many hats and his tasks reflect sometimes he is an inspector, sometimes he is a manager, sometimes he reviews incident reports, and sometimes he writes his monthly report. When Bob finally moves on, his tasks may be assigned to multiple people, so a simple “bulk update” of Bob’s tasks to Betty may not be correct.
That is where user groups come into play. With well thought out user groups, you can create a group for each of the responsibility areas associated with Bob’s position. Examples would be: Each of these user groups can have one or more members. So, in our example, the group member for each of these groups would be Bob. When Bob leaves, it’s a simple matter to remove Bob from the group, and add in the appropriate person(s). One simple change will keep the compliance commitments in place and tracked and take very little effort from the Locus Software administration team. Always remember, a group can have just a single member, making this an ideal way to manage inevitable change.
